If the Registration Form along with the requested info, as well as the deposit (the amount depends on the specific trip) is not returned/paid within the set deadline for your trip. the trip may be made available to other teams.
For certain trips we do not have the exact price right away. If it is noted that it is an estimation; we estimate the price based on how many people we/you think will be going. If there are less people going; there may be an increase in the price per person. If there are more people going, the price per person may be lower. The costs are calculated from what is included in the program/price.
We never have the exact price for airfare until the time of purchase. We can only estimate your airfare.
We will purchase the plane tickets for you, unless otherwise agreed upon.
We cannot purchase the tickets until all the money for it has cleared in our account. When you transfer money to our GTM account through our donation page, it will take a few days to clear.
Note that if you choose to purchase your plane ticket yourself (not through GTM), you will need to check the itinerary with us before you purchase. Also, if you purchase your ticket by yourself, and not through GTM; please note that it is then not considered tax deductible as a donation to GTM; a non-profit organization.
The ticket needs to be purchased by 3 months prior to the trip.
The full payment is due 1 month prior to the trip, unless otherwise agreed upon/informed about. (Non-refundable)
Since GTM Ministries is a non-profit organization; we are not allowed by the IRS to give any kind of refunds.
If there is a situation where GTM or the local hosts for some very special and unusual reason(s) have to cancel or postpone the trip; the money will go towards your next trip.
GTM Ministries is not responsible for any additional and unexpected expenses except for what is stated. In the rare case of extra fees/expenses in connection with transportation, hotel, sudden increase in prices for activities, airplane taxes, etc, this will be the travelers responsibility.
GTM Ministries will not pay for anything in advance. If there is a point in time we have no alternative but to front some of the payments/activities; there will be an extra fee in which the traveler will have to pay. Unless otherwise stated, this fee will be 5% of the payment we are fronting.
We can never guarantee prices for activities not included in the total price until they are booked and paid for (unless we have locked in rates), and they are subject to change.
Pictures and videos obtained on the trip can be used freely by GTM Ministries in their promotion/marketing, unless otherwise agreed upon. GTM Ministries will use discretion in what pictures/videos are appropriate for sharing.
There is no refund if the traveler is dissatisfied with any of which we provide; buses, rental cars, tour leaders/hosts/guides, hotels/lodging, activities, meals, airfare, program, etc. We strive to give you our absolute best; but we unfortunately cannot control every variable, especially those provided by suppliers.
GTM Ministries is as mentioned above using various suppliers for our services (such as airfare, hotel/lodging, buses, rental cars, restaurants, activities etc). Most of these services are not directly supplied by GTM Ministries. GTM Ministries, therefore, shall not be responsible for breach of contract of any intentional or careless actions or omissions on part of such suppliers, which result in any loss, damage, delay, or injury to you or your travel companions or group members. Unless the term "guaranteed" is specifically stated in writing on your tickets, invoice, or reservation itinerary, we do not guarantee any of such suppliers' rates, bookings, reservations, connections, scheduling, or handling of personal effects. GTM Ministries’ representatives shall not be responsible for any injuries, damages, or losses caused to any traveler in connection with terrorist activities, social or labor unrest, mechanical or construction failures or difficulties, diseases, local laws, climactic conditions, criminal acts or abnormal conditions or developments, or any other actions, omissions, or conditions outside the travel agent's control. Traveler assumes complete and full responsibility for, and hereby releases GTM Ministries from any duty of, checking and verifying any and all passport, visa, vaccination, or other entry requirements of each destination, and all safely or security conditions at such destinations, during the length of the proposed travel. By embarking upon his/her travel, the traveler voluntarily assumes all risks involved in such travel, whether expected or unexpected. Traveler is hereby warned of such risks, and is advised to obtain appropriate insurance coverage against them.
